Exhibition Policy


GUIDELINES FOR EXTERNAL USERS


In furthering its educational mission, the Library facilitates a programme of exhibits and displays designed to highlight interests of the UWI community, students, members of the academic community and interested persons and organizations within the society.   The Library supports academic freedom of expression.  It is not our policy to censor exhibits. Patrons are invited to express their comments in a book provided at the exhibition site for that purpose.

Members of the University Community are encouraged to use designated display areas in the Libraries of the University of the West Indies, Mona Campus to mount displays on topics of interest.
The following types of exhibits will be favorably considered:

  • Exhibits pertaining to major events on campus or in the society.
  • Exhibits publicizing activities of student groups, clubs, etc.
  • Those pertaining to the promotion of academic scholarship.
  • Exhibits which bring to the attention of members of the university community outstanding representation of cultural or social phenomena not otherwise readily available in this community.
  • Exhibits of work of artists, craftspeople, the purpose of which is cultural exposure as against sales promotion.
  • Any other areas of interest as specified by the exhibitor and deemed suitable by the Library.

The Library Responsibilities:

  • The Library reserves the right not to host an exhibit.
  • The Library will make available cabinets and display boards. Exhibitors are liable for damage to boards and cabinets during mounting or dismantling.
  • Questions or problems concerning exhibits should be directed to the Head of Loans and Reference Section of the Main Library or in the case of branch libraries to the Head of the particular library.
  • The Library will use all means to secure items left on display but it does not accept responsibility for items placed on display boards or left in the library before or after the scheduled period of the exhibition.

Exhibition Guidelines:

  • Duration of exhibits mounted by individuals or groups outside the Library will be normally for two weeks.  Exceptions are at the discretion of the Campus Librarian.
  • In general only one request to mount a display will be accommodated for a group or individual during the academic year.
  • Displays will be scheduled by the Coordinator.  A booking schedule will be drawn one month in advance.

Procedure:

  • Completed application forms must be submitted at least 4 weeks before scheduled mounting date and a response provided within two days of receipts.
  • Some description of the aim and purpose of the display should be included.
  • Application forms are available from the Coordinator of exhibitions in the Main Library, and from the Heads of the Branch Libraries, University of the West Indies, Mona Campus. The forms should be completed and returned to these persons.
  • Mounting and dismantling of exhibits should be done between 9:00am and 8:30pm on weekdays.
  • The organization or group responsible for the exhibit must be visibly and prominently shown on a disclaimer form provided by the Library. This disclaimer must be signed by the person requesting permission to mount the exhibit.

INTERNAL GUIDELINES

  • A Schedule of Exhibition will be prepared one semester in advance and Sections wishing to mount or have displays mounted should liaise with the Exhibition Coordinator so that a simple comprehensive schedule can be drawn up.
  • Exhibits prepared by librarians in other Sections of the University Library need not be approved, but a form should be submitted for information and scheduling purposes.
  • Where possible, the Coordinator should be made aware of a Librarian’s intention to mount an exhibition.  Completed applications forms should be sent to him/her 6 weeks ahead of the planned exhibition.
  • Exhibits should be mounted within two days of the scheduled starting dates and material must be removed promptly at the close of the exhibit period.
  • Mounting and dismantling of exhibits should be done between 9:00am and 8:30pm on weekends.
  • Application forms are available from the Co-ordinator of Exhibitions in the Main Library, of the University of the West Indies, Mona Campus and should be completed and returned so that it can be schedule as stated above.
